Arc Marksmanship Academy, LLC (“Arc Marksmanship Academy,” “we,” “us,” or “our”) operates the Overwatch platform, accessible at www.arcmarksmanship.com (the “Platform”). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our Platform, including information about minor athletes registered through parent or guardian accounts.

Please read this Privacy Policy carefully. By accessing or using the Platform, you agree to the terms of this Privacy Policy. If you do not agree, please discontinue use of the Platform immediately.

2. Information We Collect

2.1 Information You Provide Directly

Account Registration:

  • Full name, email address, and password
  • Date of birth (used to determine minor status)
  • Phone number (optional, for SMS notifications)
  • Profile photograph (taken and uploaded by academy staff)

Shooter Profiles:

  • Skill tier and rank history
  • Firearm specifications and equipment details
  • Performance scores and session history
  • Competition history
  • Emergency contact information
  • Medical notes and health disclosures relevant to range participation
  • NFC card unique identifier (UID)

Payment Information:

  • Credit card details (processed and stored by Stripe, Inc. — we do not store full card numbers)
  • Bank account information for ACH payments (processed by Stripe, Inc.)
  • Billing address and zip code
  • Transaction history

Minor Athlete Information (collected through parent/guardian accounts):

  • Minor's full name and date of birth
  • Minor's profile photograph
  • Minor's performance and training history
  • Signed waiver and consent documentation

Documents and Waivers:

  • Electronic signatures
  • Signed date, timestamp, and IP address at time of signing
  • Waiver and consent document records

2.2 Information Collected Automatically

  • IP address and device information
  • Browser type and version
  • Pages visited and time spent on the Platform
  • NFC card tap events, including timestamp, kiosk unit ID, and associated action
  • Session check-in and check-out records

2.3 Information from Third Parties

  • Authentication data from Google (if you choose to sign in with Google)
  • Payment processing data from Stripe, Inc.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Account management — creating, maintaining, and securing your account
  • Platform services — scheduling sessions, managing enrollments, processing payments, and tracking athlete progress
  • Safety and compliance — maintaining waiver records, tracking disqualification events, and ensuring range safety
  • NFC check-in — identifying athletes and staff at facility kiosk stations
  • Communications — sending enrollment confirmations, session reminders, payment alerts, and promotional notifications (where you have opted in)
  • ID card generation — printing and encoding athlete identification cards
  • Analytics — improving platform performance and user experience
  • Legal compliance — meeting our obligations under applicable law

4. Children's Privacy (COPPA Compliance)

Arc Marksmanship Academy is committed to protecting the privacy of children under the age of 13 in compliance with the Children's Online Privacy Protection Act (COPPA).

We do not allow children under 13 to create independent accounts. All accounts for athletes under 13 must be created and managed by a parent or legal guardian.

What we collect from minor athletes:

  • Name, date of birth, and profile photograph
  • Performance and training data
  • NFC card identifier
  • Waiver and consent records (signed by parent or guardian)

Parental rights:

  • Parents and guardians may review their child's information at any time through their account
  • Parents and guardians may request correction or deletion of their child's information by contacting us at privacy@arcmarksmanship.com
  • Parents and guardians may withdraw consent at any time, which will result in the deactivation of the minor's profile

Verifiable parental consent: By creating a child profile through a parent or guardian account, the parent or guardian provides verified consent for the collection and use of their child's information as described in this Privacy Policy.

5. Sharing Your Information

We do not sell your personal information. We may share your information in the following circumstances:

Service Providers:

  • Stripe, Inc. — payment processing (credit card and ACH transactions)
  • Resend — transactional email delivery
  • Twilio — SMS notification delivery
  • Supabase — secure database hosting and authentication
  • Vercel — platform hosting and deployment

All service providers are contractually obligated to protect your information and may only use it to provide services on our behalf.

Legal Requirements:

We may disclose your information if required to do so by law, court order, or governmental authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Arc Marksmanship Academy, our users, or the public.

Business Transfers:

In the event of a merger, acquisition, or sale of all or substantially all of our assets, your information may be transferred as part of that transaction. We will notify you via email and/or prominent notice on the Platform prior to your information being transferred.

6. Data Retention

We retain your personal information for 3 years after account closure or as required by applicable law, whichever is longer. After this period, your information will be securely deleted or anonymized.

Signed waiver and consent documents may be retained for longer periods as required for legal compliance and liability purposes.

NFC tap event logs and check-in records are retained for 1 year from the date of the event.

We implement industry-standard security measures to protect your information, including:

  • Encryption of data in transit using TLS/SSL
  • Encrypted storage of sensitive data
  • Role-based access controls limiting data access to authorized personnel
  • Regular security reviews and updates
  • Payment data handled exclusively by PCI-DSS compliant Stripe, Inc.

No method of transmission over the internet or electronic storage is 100% secure. While we strive to protect your information, we cannot guarantee absolute security.

8. Your Rights and Choices

Access and Correction: You may access and update your personal information through your account settings at any time.

Deletion: You may request deletion of your account and associated personal information by contacting us at privacy@arcmarksmanship.com. Note that certain information may be retained as required by law or for legitimate business purposes.

Notifications: You may opt out of non-essential email and SMS notifications through your account notification preferences at any time.

Cookies: You may configure your browser to refuse cookies. Note that some features of the Platform may not function properly without cookies.
